Established as a Self Catering House
At Garden Route Trail House, we pride ourselves on offering exceptional self-catering accommodation. We believe in providing our guests with the freedom to enjoy their stay on their own terms. With that in mind, we want to clarify that our establishment does not provide or arrange additional services such as meals, transport, tours, functions, events, parties, babysitting, and conferences. We want to ensure that our guests have the flexibility to create their own experience during their time with us.

At Garden Route Trail House, we understand that plans can change. However, we want to emphasize that our quote totals will not be reduced if the number of guests is fewer than originally specified. We want all of our guests to have a fair and consistent experience when it comes to pricing.
In the unlikely event of a double booking, we assure our guests that we will handle the situation with utmost fairness and professionalism. The guest who secures the accommodation will be determined at the sole discretion of the manager or owner of Garden Route Trail House. In the event that a guest does not secure the accommodation, their funds will be refunded in full.
When it comes to payment methods, we prefer electronic funds transfer (EFT) as it incurs no fees. However, if cash deposit is necessary, we recommend doing it at an ATM to reduce costs. Please note that a bank fee of R50 will be added to your booking fee in this case. We do not accept cheques as a form of payment, and any cheque payments made will not be confirmed. No refund will be made on cheque payments.
For added convenience, we also accept on-site credit card payments. We accept Visa and Mastercard only. To ensure a smooth transaction, guests are required to provide the credit card used and identification upon arrival to prove ownership.

Reservations are a crucial part of ensuring a smooth and enjoyable stay at Garden Route Trail House. In order to confirm a reservation, we require a reflected deposit payment. This ensures that both parties are committed to the booking and guarantees the availability of the accommodation.
We understand that peak holiday periods can be busy, which is why we have specific payment requirements during these times. For bookings during Easter, long weekends, mid-December to mid-January, and the July school holiday period, full payment is required 30 days prior to arrival. This helps us manage our availability and ensures that guests can secure their preferred dates well in advance.
For the remainder of the year, a deposit of 50% is required 30 days prior to arrival. The balance must be paid on the day of check-in. We believe in transparency and want to make the payment process as clear and convenient as possible for our guests.
When making a reservation, we kindly request that the names and relationship of the persons sharing the unit be provided. This helps us ensure that the accommodation is suitable for all guests and allows us to personalize their experience.
Cancellations are never ideal, but we understand that circumstances can change. In the event of a cancellation less than 7 days prior to arrival, the full deposit amount will be charged. This policy also applies to non-arrival, late arrival, or early departure. We believe in fairness and consistency when it comes to cancellations, and we regret that no exceptions can be made, even for personal emergencies or unforeseen circumstances. During peak season, which includes Easter, long weekends, mid-December to mid-January, and the July school holiday period, cancellations made less than 14 days prior to arrival will result in the full deposit amount being charged.
We want to make the payment process as convenient as possible for our guests, which is why we require full accommodation payment to be received before or upon check-in. This helps us ensure a seamless experience for our guests from the moment they arrive.
At Garden Route Trail House, we value our guests’ satisfaction and prioritize their comfort during their stay. It is important to note that the guest retains personal liability for the bill until the employer, agent, or person who made the reservation on their behalf has settled it. We strive to provide a hassle-free experience for our guests and appreciate their cooperation in settling any outstanding payments.
We understand that plans can change, and we want to accommodate our guests as much as possible. With that in mind, bookings may be changed once (moved to other dates) within 14 days of the original booking, subject to approval from management and availability within the season. After 7 days, no modifications are allowed to ensure fairness and consistency for all guests.
While we strive to offer the best possible service, we acknowledge that unforeseen circumstances can arise. Unfortunately, we are unable to judge the reasons for changes, cancellations, or non-arrival of guests. Therefore, we highly recommend that our guests take out appropriate holiday insurance to safeguard against any unexpected situations. We want our guests to have peace of mind during their stay with us.
Garden Route Trail House prides itself on providing reliable and available accommodation. However, in the rare event that our accommodation is unavailable due to circumstances beyond our control, we will make every effort to offer alternative accommodation to our guests. If alternative accommodation is not possible or acceptable, we will refund all monies paid for the accommodation. Our responsibility extends only to the refund of payments made and does not include any further liability.
We would like to clarify the deposit fees at Garden Route Trail House. The refundable breakage deposit is equivalent to 1 night’s accommodation rate/fee and is dependent on risk factors. Refunds are processed within 7 days of departure. Please note that no cash refunds will be issued on departure. Group rates/fees and conditions may differ and will be quoted separately.
Refunds on cancellations will only be made after payment has been cleared by the bank or credit card company. This process can take in excess of 30 days, and we appreciate our guests’ patience during this time.
At Garden Route Trail House, we take great pride in our property and strive to maintain it to the highest standards. In the event of any missing items, breakages, damage to the house, furniture, fittings, soft furnishings, roads, fencing, gardens, and any additional costs and fines, the guest will be liable for these expenses. We want to ensure the longevity of our property and appreciate our guests’ understanding and cooperation in maintaining its condition. Please note that any disputes regarding breakages or damage must be reported within one hour of checking in.
When it comes to rates, we want to be transparent and provide our guests with the most up-to-date information. Rates are subject to change without notice, and we want to ensure that our guests have the most accurate pricing information available. We strive to offer a fair and competitive pricing structure to provide our guests with excellent value for their stay.
Quotations provided by Garden Route Trail House are valid for 24 hours unless otherwise specified. We want to ensure that our guests have the opportunity to make an informed decision and take advantage of our current pricing and availability.
We believe in offering flexible rates to accommodate different group sizes and durations of stay. For bookings of the full house, even if only one guest makes a booking, we have a standard base rate. Discounts will be offered for large groups at the discretion of the manager or owner. We want to provide our guests with options that suit their specific needs and ensure they receive the best possible value for their stay.
If a guest decides to decrease the duration of their stay or interrupts their original booking, discounted rates may be revised. We want to offer flexibility while ensuring fairness for all guests.
Arrival and departure times are an important part of ensuring a smooth experience for our guests. We kindly request that guests check in between 15:00 and 20:00, unless prior arrangements have been made. This allows us to prepare the rooms in a timely manner for new arrivals. Similarly, check out time is by 10:00, unless prior arrangements have been made. This ensures that we have ample time to prepare for incoming guests. Please note that late check-outs may be subject to additional charges to ensure fairness and consistency for all guests.
For the comfort and security of all our guests, visitors are not permitted without prior permission. Any visitors without proper authorization will be subject to an additional visitors fee of R50 per person per day. Failure to arrange visitors or unauthorized visits may result in a fee of R500 being charged to the guest’s account. We want to maintain a safe and enjoyable environment for all our guests and appreciate their cooperation in following these guidelines.
We kindly request that all guests uphold a high standard of personal conduct during their stay at Garden Route Trail House. We do not tolerate any problems connected with abused substances such as drugs and alcohol. We respectfully request that the person who made the booking takes responsibility for the personal conduct of their guests. We want to ensure a peaceful and enjoyable environment for all our guests and appreciate their understanding and cooperation in maintaining this standard.
At Garden Route Trail House, we prioritize the well-being of our guests and the environment. We kindly request that guests be considerate when it comes to the use of plumbing and electrics. It is important not to throw or flush any foreign items down the drains to prevent any damage or blockages. Guests will be held liable for any costs or damages resulting from improper use. As part of our commitment to environmental sustainability, we use septic tanks and can only accommodate the use of toilet paper. We also appreciate guests switching off lights when not in use to conserve energy. Water is a precious resource, and we kindly request that guests use it sparingly as we have limited borehole water. We want to ensure the longevity of our resources and appreciate our guests’ cooperation in maintaining our environmental standards.
For the safety of all our guests, we have strict policies regarding dangerous items/substances. No fireworks, dangerous materials/substances, or weapons are allowed on the property. To ensure the safety and well-being of our guests, fines of R1000 will be charged to the guest’s account for any violations of this policy.
Smoking is allowed in all outside areas at Garden Route Trail House, but we kindly request that guests dispose of cigarette butts responsibly and do not litter. We want to maintain a clean and pleasant environment for all our guests.
We understand that pets are part of the family, which is why we allow pets at Garden Route Trail House. However, prior confirmation is required before arrival and during the booking process. When bringing pets, they must be on a leash upon arrival and in areas outside of the Garden Route Trail House enclosed yard. All other areas outside the property is strictly leashed areas. We kindly request that guests have control over their pets when encountering any wildlife. A small fee of R50 per animal will be charged to accommodate pets. To ensure a comfortable stay for all guests, we recommend bringing bedding or throws if pets are allowed on furniture and beds. We appreciate guests cleaning up after their pets to maintain a clean and hygienic environment.
At Garden Route Trail House, we take pride in the quality of our property and want to ensure its preservation. Guests are liable for any loss or damages (excluding wear and tear) to the property of the establishment. We want all guests to enjoy their stay and leave with wonderful memories, and we appreciate our guests’ cooperation in maintaining our property.
At Garden Route Trail House, we strive to provide a comfortable and enjoyable experience for all our guests. However, there may be unforeseen circumstances or events that are beyond our control. In the event of any unanticipated interruptions to the electricity, water, sewage, or any other conditions that prevent us from fulfilling our obligation to our guests, we will take all reasonable steps to minimize disruption and discomfort. Our guests’ satisfaction is our top priority, and we will do everything we can to ensure a pleasant stay.
It is important to note that our liability for any events or conditions for which a guest may institute a claim is limited to the value of one day’s accommodation. We want to be transparent about our responsibilities and ensure that our guests have realistic expectations.
We want our guests to feel comfortable and secure during their stay at Garden Route Trail House. Therefore, we want to emphasize that the Right of Admission will apply. We want all guests to enjoy a peaceful and pleasant environment, and we reserve the right to deny entry or remove any individuals who may disrupt this environment.
At Garden Route Trail House, we prioritize the well-being and safety of our guests. However, guests enter and use our premises and facilities at their own risk. We take all reasonable precautions to ensure the safety of our guests, but we cannot be held responsible for any injury, loss, or damages that may occur. We want all guests to have a memorable and enjoyable experience at Garden Route Trail House, and we appreciate their understanding and cooperation in adhering to this policy.
During the booking process for Garden Route Trail House, the standard trading terms and insurance indemnity will be presented to you. This is a necessary part of our agreement with guests and ensures that both parties are aware of our policies and responsibilities.
By making a booking or entering into an agreement with Garden Route Trail House, whether verbally or in writing, you acknowledge that you have read and accepted our terms and conditions. We want to maintain transparency and ensure that our guests understand and agree to our policies.
When you enter the premises of Garden Route Trail House, you do so entirely at your own risk. We want to make sure that our guests are aware of the risks involved in staying at our property and participating in any activities offered by Garden Route Trail House. Your safety is important to us, and we want to ensure that you understand and accept the risks associated with your stay.
We want to make it clear that there may be risks involved in being present on premises bordering a dairy farm. This includes potential encounters with dangerous animals such as snakes, scorpions, spiders, and various wildlife that roam freely on the property. We want all guests to be aware of these risks and exercise caution during their stay. All guests are not allowed to encounter any of the farm animals.
At Garden Route Trail House, we have a set of rules and regulations that we expect all guests to abide by. These rules are in place to ensure the safety and well-being of all guests. We kindly request that you familiarize yourself with these rules and regulations and adhere to them during your stay.
We want to emphasize that it is a condition of your presence on the premises and participation in any activities that Garden Route Trail House shall not be responsible for any accidents, injuries, or damages that may occur. This includes accidents or injuries resulting from negligence on our part or any other cause. Your safety is our utmost priority, and we want to ensure that you understand and accept this condition.
By signing this agreement, you agree to indemnify Garden Route Trail House against any claims made by a person accompanying you or under your control. This includes claims for injury, death, loss, or damage as a result of their presence on the premises or participation in any activities. We want to ensure that all parties are aware of their responsibilities and obligations during their stay at Garden Route Trail House.
Finally, we want to clarify that we cannot be held responsible for any claims or disputes regarding the personal conduct of guests or their visitors. We kindly request that all guests uphold a high standard of personal conduct during their stay, and we appreciate your understanding and adherence to this policy.
